Multi-Factor Authentication

The college requires all employees to use Multi-Factor Authentication (MFA). The Information Technology Department is providing these instructions to set up verification methods. It should only take a few minutes.

If you do not have access to any of your methods and can't sign in, contact Viking Help Desk at (361) 698-2330.


INITIAL Setup

    1. Once MFA is enabled for your account you may be prompted to set up verification methods after signing into Microsoft 365 apps with your DMC email address.
    2. Select "Next" to choose a verification method.

    3. The next screen will allow you to choose a method to verify your identity. Depending on your preference, your experience will be different. Each method type is explained below.

Method Types

  • Authenticator App

    If you choose this option, you must install the free Microsoft Authenticator app on your phone. When you are prompted for MFA, you will receive an app notification you can approve or reject.

    Steps

    Download the Microsoft Authenticator app to your phone from the Google Play Store or the Apple Store. After you install the app, select “Next” on the screen below.

    Follow the instructions on your phone screen and on the screen below, and then click “Next.”

    Scan the QR code on the screen and follow the instructions on your phone screen, then click “Next.”

    The following will pop up on the computer screen after the notification is approved on your phone screen. Then click "Next."

    The following screen will appear showing that you have successfully set up your security information. Click on "Done" to complete the process.

  • Text Message or Phone Call

    If you choose this option, you provide your cell phone number to Microsoft. When prompted for MFA, you will receive a text message or phone call containing a code. You type in this code to verify your identity and complete sign-in.

    Steps

    To set up text verification, click “I want to set up a different method.”

    The following dialog box will pop up. Click the drop-down arrow and choose “Phone,” and click “Confirm.”

    The following dialog box will pop up. Enter a cell phone number for "text me a code" or any phone number for "call me." Then click "Next."

    You will either receive a text message or a phone call with a code and you will need to enter it on the following screen and click "Next."

    The following screen will pop up after the notification is approved. If registered successfully, click "Next."

    The following screen will appear showing that you have successfully set up your security information. You can click "Done" to complete the process.

  • Security Fob

    A keychain-sized hardware device is issued and connected to your DMC account. This device generates random numbers at predetermined time intervals, and you will enter these numbers during login to complete authentication.

    If you do not have a phone or prefer not to use your personal phone to receive a text message, you can request a security fob. Replacements will incur a fee.

    How to Request a Fob

    • Fill out this request form.
    • You (or your supervisor on your behalf) must request a security fob by calling Viking Help Desk at (361) 698-2330 or emailing vikinghelpdesk@delmar.edu to create a service request. Provide the fob user's Colleague ID, DMC email address and where to deliver it (office location or mailing address if working remotely).

    IT will add this verification method to your account and there is no further setup required on your part. MFA will be enabled after the fob is delivered to you.

    How to Use the Fob

    1. Your MFA prompt will say "Microsoft authenticator app or hardware token."
    2. Click the button on the security fob and enter the 6 digits displayed into the sign-in screen.
    3. The numbers refresh periodically so you must enter the number before the fob displays a new number.

What MFA means for yoU

By setting up MFA, an extra layer of security is added to your Microsoft 365 account sign-in. You are providing a way for Microsoft to send you a text message, phone call, or app alert. Your personal login details, personal data, and access to your personal devices is not shared with Del Mar College as part of this process.

Things to Know!

  • For MFA, you must use one of three verification methods: mobile-based authentication app, text message/phone call, or security fob.
  • If you do not have access to any of your methods and can't sign in, contact Viking Help Desk at (361) 698-2330.
  • If you use your Teams phone extension, you must have a backup method in case you do not have access to your phone.
  • More information about the MFA setup process can be found on the Microsoft Support website.

Manage Your Security Settings

At any time, you may sign in to Microsoft 365 and go to your security settings page (see below) to manage your verification methods and change your default sign-in method. You will be prompted when accessing your security settings page. If you need assistance, contact Help Desk.

Click on your image at the top right of your email window and click on "View account."

On the following screen you can add/remove sign-in methods and change the default method.

Things to keep in mind:

  • Due to recent changes by Microsoft, security questions and email address cannot be used for MFA. They will work for password resets only.
  • If you use your Teams phone extension, you must have a backup option in case you do not have access to your phone.
  • App passwords are no longer needed to log into the Outlook desktop app.
  • If you do not have access to any of your methods and can't sign in, contact Viking Help Desk at (361) 698-2330.
